Events Committee

Events Committee Chairs: Tracy Tufts, Lisa Sweat

Members: Gary Brenner

Responsibilities: The Events Committee is responsible for the Chapter's annual social events and other special events outside of the monthly educational luncheons.

Time Commitment: The Committee meets monthly via 20-minute virtual meetings.  Coordination and preparation of specific events will occasionally require 1-2 hours of time during select calendar months leading up to an event.

Activities and Tasks:

Develop the Chapter's Annual Events Plan: each year brainstorm and finalize a proposal of 2-4 social events for submission to the Chapter Board of Directors.  The proposal should include:

  • An annual winter holiday luncheon
  • 1-3 other social events
  • A requested budget for each event
  • Estimated Event Cost
  • Estimated Event Member & Nonmember charge
  • At least 2 potential venues per event
  • Determine if any event will have a charitable or donation component and recommend the nonprofit organization(s) that will benefit

Venue Selection

  • Select venue(s) determining the best location and value for Chapter members
  • Consider event style, location, parking, menu, and pricing
  • Select menu
  • Upon Board approval, Chair will execute contract with venue
  • Chair will coordinate venue deposits, if required
  • Chair will communicate final headcount based on venue requirements

Work with Chapter Admin to Publicize Events:

  • Creation of flyer / promotional material
  • Verify that event is accurately posted by Chapter Admin on Chapter website
  • Coordinate with Chapter President to promote event at Chapter monthly luncheons
  • Verify that email blasts are sent by Chapter Admin
  • Verify that social media posts are posted by Chapter Admin
  • If deemed appropriate by the Board, conduct personal Chapter and industry contact outreach to promote event and encourage attendance

Event:

  • Attend event (to the greatest extent possible)
  • Assist Chair with event coordination before, during, and after event as needed, which may include
  • Early arrival
  • Sign-in sheets
  • Nametags
  • Venue coordination
  • Activity coordination, if applicable
  • Event photos

 

Sponsorship Committee

Sponsorship Committee Chair: Melvin Schneider

Members: Greg Brennan

Time Commitment: 4-6 hours annually

Responsibilities: The Sponsorship Committee is responsible for promoting the sponsorship program and recruiting sponsors at the Chapter level.

Activities and Tasks:

Determine Sponsorships

  • Design sponsorship program / opportunities
  • Program should include multiple levels of sponsorship opportunities
  • Chair presents sponsorship program to the board for approval
  • Upon Board approval, work with Chapter Admin to create promotional material

Promote & Recruit Sponsorships

  • In conjunction with the President, promote the sponsorship program at Chapter meetings and events
  • Recruit sponsors

Recognize Sponsors

  • Ensure that sponsors are recognized in accordance with the sponsorship program guidelines
  • Order sponsor logo items/placards in accordance with the sponsorship program guidelines
  • Verify that sponsors are appropriately recognized:
  • At chapter events
  • On chapter emails
  • On chapter websites
  • On chapter social media
     

Membership Committee

Membership Committee Chair: Michael Seaman

Members: Jim Schneider, Parker Holiman

Time Commitment: The Committee meets as needed.  Committee members are encouraged to attend as many Chapter events as possible. Average monthly time commitment will be between 1-2 hours, including time spent at events.

Responsibilities: The Membership Committee is responsible for retaining and developing new members as well as increasing and maintaining overall Chapter membership.

Activities and Tasks:

Identify and Recruit Prospective Members

  • Create and maintain a Potential Member Database
  • Obtain names and email addresses of guests at meetings and contact them following the meeting
  • Identify companies not currently involved in the Chapter and perform outreach
  • Coordinate with Chapter Admin to ensure member list and email list is up to date

New Member Engagement

  • Welcome Chapter members via a welcome email/letter that includes information on upcoming events and links to the Chapter's website, social media sites, and official Chapter email address
  • Personally reach out to new members to encourage them to attend an upcoming event
  • Identify new members attending an event
  • Assign or act as a liaison to new members at their first event

Promote CFMA and Industry Events

  • Attend other local industry events
  • Promote CFMA by networking at these events
  • Bring written promotional materials and flyers for distribution
  • Look for opportunities for the Chapter to co-sponsor an industry event, upon Board approval

Retain Membership

  • Conduct an annual retention campaign to contact non-renewed members
  • Promote membership benefits to current members
  • Respond to member inquiries about membership benefits and direct inquiries to the applicable Committee or the Board as needed

 

Scholarship Committee

Scholarship Committee Chair: Gary Brenner

Members: Melvin Schneider, Randall Brown, Spencer Voss

Responsibilities: The Scholarship Committee is responsible for developing and maintaining the scholarship program.

Time Commitment: The Committee meets twice annually.  Committee's time will be mostly concentrated on the scholarship application and review process for a total annual time commitment of 4-6 hours.

Activities and Tasks:

Annual Scholarship Program Update

  • Meet annually to review and update the Scholarship Program
  • Propose changes to the scholarship application and application process as needed
  • Propose annual scholarship count and award (e.g., 2 scholarships of $1000 each)
  • Chair will present annual program updates to the Board for approval

Promotion of Scholarship Program

  • Reach out to local colleges and universities to promote scholarship program and distribute application materials
  • Promote Scholarship Program at Chapter events
  • Encourage Chapter members to circulate scholarship application materials to applicable student contacts such as interns or family members

Choose Recipients

  • Chair will collect scholarship applications and distribute to committee members
  • Committee members will review all applications
  • Committee will determine a selection process
  • Recommend recipients to the Board for approval

Award Presentation

  • Contact scholarship recipients
  • Coordinate scholarship presentation at a Chapter meeting
  • Coordinate photos and social media posts of scholarship distribution
